12 April 2007 Festival Meeting Minutes

Meeting called to order at: 7:05 pm

Attendees:

Meeting was relocated to Ministry Center because no one had the key to the Science Room

Review of Action Items:
  1. Send letter to City for conditional parking and variance - completed / Brian C
  2. Follow-up with George for sponsor amounts - completed / Brian C
  3. Follow-up with Victor Globa on raffle sponsorship - completed / Cecile G; still need to find a sponsor for printing the raffle tickets
  4. Finalize list of volunteer openings - in process / Cecile G
  5. Follow-up with local winery - in process / Joe Monarrez
  6. Rental costs for margarita machine - completed / Dianne Rodriguez
  7. Look into borrowing a "speed trailer" to be used for game - in process / Danny Potter, contact made with CHP/Downey PD
  8. Sponsor list - completed / George del Carmen, provided to Cecile during the meeting
  9. Provide ideas for entertainment to Michelle Viele
  10. Service Hours - determine what school year will service hours apply to if you are a festival committee member - completed.

Information Sharing:

Brian informed the group that per Father, all raffle proceeds will go to the school. However, the parish mailing list will not be provided to the school. Raffle proceeds made up 1/3 of last year's festival's income. There was some discussion on alternative ways to sell raffle tickets. This needs to be discussed further by the school.

There was some question on how service hours will be applied in the following situations:

How many service hours will be granted if 2 parents work at the same time for 5 hours each? Should it be just 5 or 10?

If a child works at a game booth, should they get service hours?

Things to note:

Festival Days: Do not sell food before food permits have been issued

1st day of the festival: Someone needs to be available for the inspector to make sure that we are compliant with permit requirements or validate that we will take care of any issues identified by the inspector so that the Festival can proceed

Ride company needs a business license from the City of La Mirada, 30 days in advance

Building, electrical, and health permit needs to be acquired by 8/1

Permit needs to be acquired from the Fire Department by 8/1

Make sure that Father Tony is present when our request to the City of La Mirada is presented for approval to the City Council

Minimum age requirements to volunteer: 18 years and older for food booth; 16 years and older for game booths

Food Booth Chairman Presentation (Cynthia):

  1. 5 weeks before festival - Inventory of 2006 Festival Supplies
  2. 4 weeks before festival - meeting with Food Booth Captains
  3. 4 weeks before festival - Install donation board
  4. 3-4 weeks before festival - Place order to vendors
  5. Festival week - shopping, note some supplies needed Tuesday prior to Festival

Booth Captain Donations:

  • Pizza, Italians, Mexicans, etc.

Action items:

  1. Cynthia will provide another copy of the 2006 Festival DVD so that we can show it to our Parent Meeting on 25 April.
  2. Rose will provide another copy of the fire permit packet so that we can all review the existing festival layout
  3. We need to find a parent volunteer who is a certified electrician to assist us in determining power options for the festival
  4. Brian C/Rose B - make phone call to the La Mirada Sheriff's Department letting them know of our upcoming Festival
  5. Brian / Jennifer and Desiree will have a separate meeting to finalize game booth details
  6. Place a save the date ad in the church bulletin - Cecile G
  7. Acquire Benton Parking Lot permit - Doug Lewis
